Terms of Service

1. Acceptance of Terms

By accessing or using ClockInProof ("Service"), you agree to be bound by these Terms of Service. If you do not agree, do not use the Service. These terms apply to all users including employers (admins) and employees (workers).

2. Description of Service

ClockInProof is a GPS-verified employee time-tracking platform. It enables employers to:

  • Track employee clock-in and clock-out times with GPS verification
  • Generate payroll reports and export to accounting software
  • Integrate with QuickBooks Online to push time records directly
  • Manage workers, job sites, and pay periods

3. Accounts and Access

Employers are responsible for maintaining the security of their admin PIN and account credentials. Workers are responsible for accurate clock-in and clock-out reporting. Fraudulent GPS spoofing or false time entries may result in account suspension.

4. QuickBooks Integration Terms

By connecting ClockInProof to QuickBooks Online, you authorize ClockInProof to:

  • Create TimeActivity records in your QuickBooks company on your behalf
  • Read your QuickBooks employee list to enable worker mapping
  • Refresh access tokens automatically to maintain the connection

You may disconnect the integration at any time. ClockInProof is not affiliated with or endorsed by Intuit Inc. QuickBooks is a registered trademark of Intuit Inc.

5. Employer Responsibilities

  • Employers must obtain proper consent from employees before collecting GPS location data
  • Employers are responsible for compliance with applicable employment standards legislation (ESA Ontario, Canada Labour Code, etc.)
  • Payroll calculations provided by ClockInProof are for reference only — employers are responsible for final payroll accuracy
  • Employers must not use the Service to discriminate, harass, or unfairly monitor employees

6. Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose
  • Attempt to bypass GPS fraud detection mechanisms
  • Share admin credentials with unauthorized parties
  • Reverse engineer or attempt to extract source code from the platform
  • Use the Service to collect data about individuals without their knowledge

7. Limitation of Liability

ClockInProof is provided "as is". We are not liable for any indirect, incidental, or consequential damages arising from use of the Service, including payroll errors, data loss, or QuickBooks sync failures. Our maximum liability is limited to the amount paid for the Service in the prior 12 months.

8. Termination

We reserve the right to suspend or terminate accounts that violate these terms. Upon termination, your data will be retained for 90 days then deleted, unless legal obligations require longer retention.

9. Governing Law

These terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein. Any disputes shall be resolved in the courts of Ontario.
